A task's life, start to approved finish.

Order matters here — a task can only move forward through these states, and every transition is logged.

One owner is named. They're notified immediately.

The owner acknowledges the task is theirs — on the record.
IN PROGRESS
Work happens. Progress notes and blockers are logged.

The owner marks it done, with evidence attached if required.
APPROVED
The requester confirms the result. The record closes — permanently.
↩ Not up to standard? A completed task can be returned for revision with a reason. Hit an obstacle? Tasks can be marked waiting or blocked — logged, of course.

Reassignment mid-flight works the same way: the current owner requests a handoff, the new owner or a manager approves, and the transfer lands in the log. There's never a moment where a task belongs to nobody.

How is this different from a to-do app or a project tool?

To-do apps track intentions; project tools track plans. DutyTrace tracks accountability. Its job is to answer, at any moment and for any task: who owns this, what state is it in, and what exactly has happened — with a record that holds up after the fact.

Can the audit log really not be edited?

Correct. The log is append-only by design, enforced at the database level. Mistakes are corrected by adding a new entry, the same way an accountant corrects a ledger — the original entry stays, and the correction is visible.

What does rollout look like?

Most pilots go live within a week: we set up your company workspace, import your departments and people, and run a short working session with the people who assign the most tasks. Adoption spreads from there — the first time someone gets a clearly-owned task instead of a group text, they get it.

Can we export our data?

Yes. Account and workspace data portability is available on every plan. Paid plans also include operational CSV reporting features, and nothing is deleted when a workspace changes plans.

Does it work on phones?

Yes — in any mobile browser, plus native iOS and Android apps if you'd rather install one. Assigning, accepting, completing, and approving all work the same way across web, iOS, and Android.

Where is our data hosted?

In secure, SOC 2–audited cloud data centers, with encrypted daily backups. Regional hosting options are available on Enterprise plans.

Is DutyTrace only for businesses?

No. Free covers small permanent groups — families, roommates, friend groups — up to 10 members, forever. Event Pass covers one-off occasions — trips, weddings, reunions, moves — where one host pays and everyone they invite joins free. Starter, Team, Business, and Enterprise are for organizations running ongoing operations.

How does Event Pass billing work?

One organizer pays once. The Small Event Pass is $9 for up to 25 participants and 30 active days, followed by a 7-day grace period. Everyone else joins through a link, QR code, or event code without paying. After expiry, the workspace becomes read-only and remains preserved.
